What am I trying to do here?
Here is what I am looking to have happen; every time a lead is generated from my Facebook lead generation campaign, I want Zapper to sent me an email notification. The whole idea is to make sure that I get to respond to leads as quickly as is possible. Without notification in my email, it may take me a while to realize that my Facebook ad has generated a lead. By the time I respond, it may already be too late. The world that we live in is such that people are always in a hurry. So, it’s necessary to get them to commit while they are still interested. Otherwise, they will look for other options.
What does Zapier do?
The beauty about Zapier is that it allows you to automate your workflow, which is great if your are a really busy person. We all have web apps that we use. If you are the average person, you probably have Facebook, Gmail, Slack, Twitter, Google Calendar, Google Sheets and tens of other applications. These are the apps that we use to get things done on a daily basis.
Innovation is great! We all love it. However, things can become rather daunting. Lets’ assume that you have Google Sheets, Gmail, Twitter, Slack, Google Calendar and other apps. How do you keep track of all the messages and other information that you receive on each of them? To be frank, routine tasks, such as checking your mail, can become rather daunting. They take away the time that would better be used on some other tasks. So, you are going to have to dedicate a lot of your time to the following;
- Opening all your email accounts
- Keeping track of your remote workers via Google Sheets,
- Checking up messages on Twitter,
- Monitoring events on Google Calendar
- A lot of other stuff using a host of other apps!
It’s impossible to keep up
Truth of the matter is that it’s virtually impossible to keep up. This is where innovation becomes a curse. The average person has so many apps that it can be a chore to try and keep track of the information that’s coming in through each of them! And I am only talking about the average person here. What if you are more than average? What if you are a very busy person. What if you need to run a business that spans the globe?
This is where Zapier comes into play. Zapier was born out of the realization that the average person cannot hope to keep up of the many applications that are out there. There is a need to bring it all together. That’s particularly important for busy people. Most of the tasks that we are talking about here are rather routine. Yet they can eat away your precious time. Anyway, this is not meant to be a Zapier review. Needless to say that Zapier allows you to do the following;
- Integrate various applications
- Automate the passing of information between these applications
Zapier offers a free plan. However, that is not going to work for what we are looking for here. To use the service that we are talking about here, you are going to need to be at least on the $20 per month plan.
Creating a Facebook Lead Generation Campaign
Facebook advertising is something that every business needs to be doing. Really, there is no excuse, considering that you can get started with as little as $10! And Facebook is a true goldmine. The platform plays host to over 2.5 billion monthly active users. All these people are just begging for you to reach out to them. The great thing is that you can precisely target your audience when it comes to Facebook Ads. The result is that you will get a CTR that’s much higher than you would get using Google Ads and other digital marketing channels.
How to Set Up a Facebook Lead Generation Campaign
I am not going to go into detail about how to create Facebook Ads in this article. I have written countless articles on the subject. The assumption here is that you already know what you are doing in this regard. If not, then simply sign up for my DIY Facebook Ads Marketing Course. The course contains a lot of nice videos and tutorials that you can use to learn how to create your very own Facebook Ads. Anyway, to create a lead generation campaign in Facebook, you need to do the following;
Log into Facebook Ads Manager
Ads Manager is where Facebook Ads get created. I am going to assume here that you wish to create a new campaign. If you already have a campaign set up and are only looking to learn how to send leads from a Facebook lead generation campaign to Zapier, feel free to skip to the next section. Creating Facebook Ads is a 3 step process;
- Creating a Campaign
- Setting up your Ad Set

Creating a Campaign: Choose a Campaign Objective
This is the first thing that you do when creating Facebook Ads. Facebook provides you with 11 campaign objectives, from which you can only choose one;
- Lead generation
- Brand awareness
- App installs
- Catalog sales
- Store visits
- Video views
Lead Generation Campaign
For this example, our choice is going to be simple; we are going to create a lead generation campaign. A lead generation campaign allows you to get more sales leads, such as people’s phone numbers and email addresses, from people who are interested in your business.
Setting up your Ad Set
The Ad Set is one of the most important areas when it comes to creating Facebook Ads for any business. It’s where you create, define and refine your target audience. That’s important because it wont matter that you have created a kickass Facebook Ad. Without targeting the right audience, your ad will just get lost in the sea that is Facebook. Again, I am not going to dwell on how to set up your Ad Set here. The assumption is that you probably already know what you are doing. If not, don’t hesitate to get in touch with me and I will be glad to help set things up nicely for your business. All that I can say here is that you need to do the following in the Ad Set section;
- You can either create a new audience or use an audience that you already have saved from previous campaigns.
- Creating a new audience is done using various targeting parameters, including location, age, and gender.
- You can narrow down on your target audience using the Detailed Targeting option, which allows you to define who you wish to have your ads delivered to using demographics, interests and behavior.
- Once you have your audience nicely set up, you can save it for future use.
- You need to set a budget for your Facebook Ads. Again, this can be anything. Most people ask me what they can expect to pay for Facebook Ads. The answer is; it depends on what you want to achieve. The great thing is you can experiment with various amounts till you have stuck that sweet spot where you are generating leads at the least amount of money. But, really, you can get started for as little as $10 per day. So you shouldn’t be frightened about Facebook Ads.
Sending Leads from a Facebook Lead Generation Campaign to Email
The above screenshot shows my Zapier dashboard. To send leads from a Facebook Lead Generation Campaign to Email using Zapier, you are going to need to do the following;
- Go to “Apps,” in your dashboard
- Search for and click on “Facebook Leads Ads.”
- Search for “Email by Zapier.” This is an email application from Zapier.
- Click on “Connect these Apps.”
Setting up your Zap
The next thing that you need to do is set up your zap or trigger. What do you want to have happen when? I have already outlined my objective at the beginning of this article. I want to get an email every time a new lead is generated in my Facebook lead generation campaign. So, the trigger is the new lead in my Facebook lead generation campaign, as you can see in the screenshot below.
Next, you are going to need to connect your Facebook Lead Generation Account, as you can see in the screenshot below. Mine has already been connected a million times.
Pick the company you are working with
Next, you are going to need to pick the company that you are working with. As you can see in the above screenshot, I have go a lot bunch of companies that I am working with. I have done this so many times I could almost do it with my eyes closed. For this example, I am going to be setting up for a Medicare company.
Zapier will automatically pick the forms that you have created in your Facebook lead generation campaign. As you can see in the screenshot below, I have two forms, Medicare Spanish Form v1 and Medicare English Form V1. Choose the form that you wish to set up and click on “continue.”
Test and Review
This is the next step on the path to sending leads from a Facebook lead generation campaign to email using Zapier. Can you do the testing without leads? Well, apparently not. As you can see, I got a fail when I tried testing without leads. If you have never gotten a lead via a Facebook lead generation campaign objective, you can only get dummy data.
What it should look like
Below is what it should really look like. I have now switched to using a campaign from which I have previously gotten leads. During testing, you get the following information about the lead;
- Email address
- Full name
- Phone number.
This is the information that I requested be filled out using the form in my Facebook lead generation campaign. Those are the fields that were in my form.
Once you are satisfied that Zapier is pulling the correct kind of data from your Facebook lead generation campaign, click on “Done editing.”
What do you want to happen?
Next, you are going to determine what you want to happen. As you can see in the above screenshot, I want Zapier mail to send an outbound email whenever I get a lead in Facebook.
This is a really important section. What do you want the email message to be? Most of us ignore stuff that gets into our inboxes. So, you are going to need to format your email in such a way that it’s hard to ignore. Essentially, this is a message to yourself or to your client telling you not to ignore the message! You are telling yourself to take action because the prospect needs a quick response if they are going to be turned into a lead. Make sure the subject cannot be ignored. There are a lot of fields on there that you can fill up. I basically skip a lot of them. Click on “Continue,” and you are going to get a preview of the email.
Turn on your Zap
At the end, don’t forget to turn on your zap. This is something that I sometimes do. That’s it! That’s how to send leads from a Facebook lead generation campaign to email using Zapier. The aim is to make sure that you are automatically notified via email when you get a lead from your Facebook Ads (lead generation) campaign. That way, you will be able to quickly respond to your prospects, which increases the possibility that you will turn them into a customer.
